    Board Meeting Summary

    THANK YOU SO MUCH TO ALL WHO ATTENDED NATIONAL NIGHT OUT!

    Open 30 – There were no speakers for Open 30

    Legislative – Mr. Cavalier said that a temporary traffic light is being installed at Rt. 1 & Telegraph Roads until a permanent one can be installed.

    Directors Comments – The Directors only spoke of the loss of Maryanne Mayor Kirtley and what she meant to our community and extended their sympathy to her family, friends and the community.

    Treasurers Report – Treasurer reported balances with one large transfer to the Reserve Account, 50 payment plans and 54 accounts with the lawyers.

    GM Report

    Neighborhood Activity – July 4th, soccer camps, equestrian camps and National Night Out and the AHYC Dog Days all went great.

    Kayak Storage – Continues to generate revenue.

    Marketing – Our amenities have been added to Tour Stafford

    Click Pay Status – 47% of the neighborhood is signed up.

    Budget & Election Process Underway – Both processes begin in August.

    Collections – Education on the most effective ways to pursue collections.

    Holders of Election Appointed (V) – Passed. Thank you Marsha Work and Lew Bunch.

    New Front Entrance (V) – Bid awarded for extension of visitor lane.

    New Website – Pushed to September.

    Election Resolution (V) – Passed.

    Treasurers Report – BB&T 1.3M, Money Market $666k, Payroll $52k, $2.5M Reserves, $79 New Projects, $150k Dredging, 50 payment plans and 54 accounts with the lawyers.

    Neighborhood Activity – July 4th, soccer camps, equestrian camps and National Night Out and the AHYC Dog Days all went great thanks to the Community Events Committee, Staff, Volunteers and mostly the participation of our community.

    Kayak Storage – A 6th kayak rack was added and is full generating upto $4k per year.

    Marketing – Our amenities have been added to Tour Stafford

    Click Pay Status – 47% of the neighborhood is signed up. We still have about 25% requesting paper statements. We need to get to about 10% to consider asking the Board to address the admin fee for those who do not pay annually or by ACH (monthly auto withdrawal).

    Budget & Election Process Underway – Both processes begin in August. This month managers and committees will begin preparing their budget requests for FY20. August is signature collection month for those considering a run for the Board. There are two open slots in October. Signature forms need to be in by Sept 1 (which is a Saturday so that will get pushed to the first business day September 4th). Please come by the office or contact Katherine Shaw (kshaw@aquiaharbour.org) with any questions or come by the office to pick up your election packet if you are interested in running for the Board of Directors. It is a three-year term. Thank you, Director Alexis Harvey and Director Shawn Desmond, for your service.

    Collections – Education on the most effective ways to pursue collections. GM focusing a compassionate but firm method of collecting delinquent dues. Attorneys, garnishments, liens and the courts will be used when other methods have been exhausted. Several cases are on the docket.

    Board

    Holders of Election Appointed (V) – Passed. The Holders of Elections have been approved. Thank you Marsha Work and Lew Bunch.

    New Front Entrance (V) – Bid awarded to Gator Paving for the extension of visitor lane only. The Board waived off of the additional improvements being considered citing financial restraint.

    New Website – Directors wanted more information about exactly what is to be provided. Pushed to September so they can receive an IT briefing and review the requirements documents.

    Election Resolution (V) – Passed. This resolution does not change any election rules or protocols, it simply combines all of the information in one document so that if there is a problem, the solution can be found in one place.

    Action Tracker for Committee Work (V) – Directors reinstated the action tracker for committees. By resolution, committees will be required to vote on all requests, approve the minutes from the meeting when the vote was taken and then the requests will be added to the action tracker and shared with the Board and GM. This program will be tested for 6 months.
