GM Notes Board Work Session 4-18-18

    Peace Park Fence – The new metal fence is up at Peace Park next to the Business Office and it really looks wonderful. It has made this toddler playground so much safer and has really improved the aesthetics.
    Motion Activated Security Lights – These lights are in several parks around the neighborhood. If the work out well, we’ll add more.     Storm Damage – It looks like we had a few isolated microbursts and some park flooding but other than that this last storm wasn’t too bad.

    Dredging – Update on Research. Looking for ways to offset costs. In general I am speaking with a lot of dredging and waterway experts to determine how to properly plan for dredging and how to find ways to offset the costs through cost sharing and preventive action.

    New Approach to CVO Violations – The GM is wading into making repairs when owners do not respond to letters about violations. The repair is made, the neighborhood looks better, the assessments stop and the cost of the repair is added to the lot owners bill. Covenants authorize this specifically and it seems to be a win for everyone. It will be used judiciously and the Board has asked that a log be kept.

    Tree Planting & Fence – Mosaic is reinstalling the fence between Washington Drive and the ATC. It has already been marked by the contractor with white flags and should be completed before the end of the month. This Saturday the Host Lions and hopefully some community volunteers will meet at the front of the community to plant 600 seedling trees between Washington & the Town Center.

    BIDS – Status of Reserve and Front Entrance Bids (V) – Director received the bids for the new Reserve Study and the RFP draft for the 2nd incoming lane.

    Pools – Winkler, Manager, Lap Swim, Hours, Rules. May will bring all these together and residents will receive notification of hours, how to charge their guests and memberships to their accounts AT the pools and copies of the rules.

    Funbrella – (V) Recycle funds have been requested to add another giant umbrella to the Harbour Inn. There was discussion about the need for several more at the CC pool. The GM was directed to bring options to the Board Meeting.

    Preferred Neighborhood Country Club Membership – This is something the golf manager and GM are working on to try to attract more outside business to the golf course.

    Website/Online Payment - The company we hired to create our integrated website and online payment option has failed. Too many excuses, not enough support and too many deadlines have passed. They still have our down payment but no more and we have requested that down payment back in full and have all the documentation we need to justify it. Plan B is not an integrated system but it will do what we need it to do - online account management and payments. So yes website still coming, online payment coming but not as quickly as we hoped. Target - 45 days for online bill pay.

    RFID- An independent evaluation of the system verified that the system is capable of getting to 100% with a few modifications. Those modifications are in progress. Look for the hot sticks to come in first to channel the inbound traffic. We need our access control system back in place and fully operational.

    Golf Course - New memberships are up, Foot Golf coming soon and several clinics are taking sign ups including Meet the Pro, Womens Golf Clinic and Jr. Golf. https://aquiagolf.com

    Cruiser Savings Proposal (V) - Manassas Park Police has offered us 3 cruisers (used Ford Crown Vics) for $3,300 each. They each have $10k in equipment that comes with them and have a KBB value of $7,500 each. This would allow the PD to get rid of the 2012 Charger, provide the Chief with a vehicle and have an extra for as long as it lasts for special events though when it goes – it would not be replaced. Estimated total saving $78k minimal over 6 years. The Chief and GM have expressed reservations about purchasing used cruisers but the deal was too generous and the saving too great not to bring it to the Board. We thank Manassas Park PD for reaching out to help a small agency.
