GM Notes & details
New Umbrella Harbour Inn Pool – A new giant umbrella was installed at the Harbour Inn Pool between the baby pool and small kid pool area. There were also umbrellaed picnic tables added to the Country Club pool.
July 4th – The planning is going well but we need more volunteers, especially van drivers. Volunteers can sign up at https://www.signupgenius.com/go/30e0445aca72ca0f85-aquia. We also need more people on the committee because we are losing some long-time volunteers next year.
Foot Golf – Grand opening Saturday June 30th 12-3 204 Bow Cove Free hot dogs, chips and soda and a limited supply of free soccer balls. We are hopeful that foot golf will impact revenue at the golf course.
Pools – Pools are going great. Lots of good feedback on new policies. Getting good use of terrace. Folks are renting ($25 an hour) for birthday parties etc. Great affordable option for a pool party.
A Horse named Bill – Additional horse to handle the demand for lessons and camps. There is a cost to caring for horses that is offset by the funds generated by lessons and camps. A breakdown of the costs was requested.
Health Insurance Evaluation – Concerted effort made to find cheaper health care for employees. Staff worked with a broker to try to find a more affordable alternative but was unsuccessful. We are still hopeful that the opt out program that go into full effect in October will reduce overall costs.
Online AH Gift Shop – The GM reviewed a plan for an online AH Gift shop to promote community pride, raise funds for special events and celebrate our upcoming 50th anniversary (AH sweatshirts, glasses, Stiffy the Whale products etc.) There is concern that we have to fund the inventory in advance. The proposal will be scaled down for Board consideration.
Cruiser Status – The Board previously approved the acquisition of 3 used cruisers at a considerable savings to the Harbour. They are expected to arrive in time for July 4th.
Lot Sale – A builder has expressed interest in purchasing a lot owned by the AHPOA that is connected to the golf course tract. He was directed to get with County to determine if a subdivide is even an option before submitting a proposal.
Kayaks & Ice Cream – It was asked if we intended to charge the proprietors like the ice cream truck who offer services to the Harbour. The plan currently is to support vendors who provide a service to our residents at no cost to AHPOA without surcharge. The GM noted the spike in kayak storage at the marina and Delaware Drive as benefit to the AHPOA.
Reserve at Woodstock Lane – A new development is proposed behind the Harbour at the corner of Woodstock & Telegraph. There are concerns about run off and silt adding to our dredging problem. The GM will meet with the County to try to have those concerns addressed.
Preschool – The preschool is scheduled for replacement in 2020. The GM suggested that it is not too soon to start discussing that project as the window for replacement only exists during the 3 summer months the preschool is not in operation.
Horse Stall – A quarantine stall was suggested by a resident whose horse got sick last year. We currently have no place to isolate a sick horse. A free-standing quarantine has been priced at $1,800 and GM will implement along with an additional shot requirement for stall tenants to address the concerns brought by this resident.
Front Entrance Status – Contractor bids not back yet. The completed engineering plan is done and the bidding contractors have 10 business days after receipt to get their bids in. The bids are to be broken into 3 primary areas to give the Board options to control costs.
Board Tablets – Electronic Board packets are being created and sent to the Directors personal devices this week to determine if electronic Board packets are doable to save money on printing costs and be more environmentally conservative.
Election Resolution – Staff recommended this so that all elections answers are compiled into one document. The idea is to gather all the answers in advance of an issue.
Monthly Billing (15th vs. 10th) – A late day of “after the 10” is proposed so that (now) monthly bills can get to residents with enough notice. The Finance Director will attend the Board Meeting to explain the benefit of the earlier of the two options.
Colonel Ing Memorial Bridge – Suggested by a resident to name the Aquia Bridge after the late Colonel Ing.
June 27th at Business Office & Summer Break Combined Meeting – Next meeting at Business Office, not Country Club because of a swim meet next week and there will be no meeting in July.
ABC Insurance – Staff is recommending the remove umbrella component from Harbour Inn rental when alcohol is invited to the party. We still have a million-dollar liability policy but umbrella policies have changed since 1998 when this policy was adopted and patrons have been unable to secure it so we are losing business. Our insurance broker supports the decision.
Nominating Committee Procedures – Adoption of the nominating committee procedures is on the agenda for a vote.
Fish & Game – As there is already a cost to individuals for duck hunting. A line item is being suggested by Fish & Game so that duck hunting can be treated as an amenity. These funds cover the riparian rights annually.
Parks and Waterways has a list of things they will be submitting for consideration by the Board once their minutes have been submitted.
5-Year-Plan is still on the table but we are waiting for the new Reserve Study before it is finalized.
Dredging collection area – The GM was directed to determine what the next step would be in creating a silt collection area at the Aquia bridge as recommended by our dredging company.
