2/26/22 – Special Members Meeting

Special Members Meeting – February 26, 2022, from 10 a.m. to noon at the Country Club (downstairs).

The purpose of the meeting is to vote on four issues presented by a petition submitted by a quorum of property owners. Voting material has been mailed to all property owners.

1. How to vote in the Special Meeting:

a) In person at the meeting between 10 a.m. and noon (downstairs at the AH Country Club, 204 Bow Cove).

b) By depositing the form titled Proxy Ballot in the enclosed envelope in the ballot box or business office drop box before the meeting.

c) Mailing your form titled Proxy Ballot in the enclosed envelope to PO Box 2650, Stafford, VA 22555-2650 (must be received) no later than February 25, 2022).

d) By handing the form titled Ballot in the enclosed envelope, with the form titled Proxy Statement attached to the outside, for someone else (proxy holder) to bring to the meeting. The proxy holder does not have to be a property owner, but must be 18 or older.

2. What is the difference between the Ballot and the Proxy Ballot?

The Proxy ballot automatically assigns the Holders of Inspections to receive your ballot, prior to the meeting.

The Ballot, when accompanied by the Proxy Statement, allows someone (proxy holder) other than the Holders of Inspections to act in person as you when voting during the meeting.

3. Meeting Quorum (20% of those eligible to cast a vote)

Property owners may also choose not to vote but instead attend the meeting in-person to help establish quorum. Only one property owner/vote per Lot will be counted. Property owners may also vote in person during the meeting.

Proxy Ballots received by mail, and/or drop boxes before the meeting, count towards establishing quorum.

Ballots accompanied by Proxy Statements and the assigned proxy-holder, who are at the meeting in person, count towards establishing quorum.

Failure to make quorum will invalidate the meeting and the vote.

4. I did not receive a ballot in the mail, or I made an error when filling out the form – where can I get another form/form(s)?

The Business Office has instructions, forms and envelopes on hand during business hours for property owners to use.

5. How will we be notified of the vote count after the meeting/counting?

The results of the meeting will be posted on the incoming signboard and on the Association’s official Facebook page and website. The results will also be posted at the Marina, Country Club and Business Office and published in the AHPOA’s newsletters.
